Summary

The Office Administration Coordinator oversees the daily operations of the engineering office and ensures smooth functionality. In this role, you’ll serve as the backbone of our team, coordinating administrative activities, streamlining workflows, and creating an inviting, efficient workspace. This includes coordinating and managing all interactions with the site facilities team to maintain optimal infrastructure and resources. 


Candidates must be able to handle a variety of office support tasks, multitask, and work diligently under pressure. Good judgment, excellent management skills, time management skills, written and verbal communication skills, and the ability to be punctual are required. The candidate must demonstrate conscientiousness, promptness, and responsibility. This person must be comfortable working with a high degree of attention to detail and discretion, as well as, incorporating new and effective ways to achieve better results. Candidate should possess a positive attitude as required in this fast-paced, detail-oriented environment with many deliverables and deadlines. Must be a team player and work well with others.


This is an on site role located in Richardson, TX working with a hybrid team.

Detailed Description

Performs tasks such as, but not limited to, the following:

  • Optimize procedures by organizing the office and providing assistance to employees
  • Oversee and coordinate office operations, ensuring seamless in-person and remote workflows.
  • Schedule and plan meetings and appointments
  • Monitor level of supplies and handle shortages
  • Ensure Richardson office requests and concerns are addressed in a timely manner
  • Coordinate with others to ensure compliance with established policies
  • Build and maintain trusting relationships with suppliers, customers, colleagues, and facilities/property management 
  • Perform receptionist duties for Customer Experience Center (CEC) when needed
  • Greet clients and visitors as needed
  • Help organize and maintain office common areas
  • Perform general office clerk duties and errands
  • Coordinate events as necessary
  • Maintain supply inventory
  • Maintain office equipment as needed

Knowledge/Skills/Competencies

  • Proven experience in office administration, or related roles.
  • Exceptional organizational skills and the ability to manage multiple priorities effectively.
  • Proficiency in office tools and software, including Microsoft Office Suite and project management platforms.
  • Thorough understanding of office management procedures
  • Analytical abilities and aptitude in problem-solving, multi-tasking and prioritization
  • Warm personality with strong written and verbal communication skills

Physical Demands

  • Duties of this position are generally performed in good working conditions.
  • Occasional exposure to elements such as noise, dust, chemicals, operating machinery, temperature extremes, etc.
  • Duties may require extended periods of sitting and sustained visual concentration on a computer monitor or on numbers and other detailed data.
  • Repetitive manual movements (e.g., data entry, using a computer mouse, using a calculator, etc.) are frequently required.

Typical Experience

  • A minimum of 5 years' experience as an administrative assistant, office assistant, or in another relevant administrative role

Typical Education

  • Bachelor's degree in related field, or consideration of an equivalent combination of education and experience.
  • Educational requirements may vary by geography.
